Executive Board Elections

GWIS Mid-Michigan typically holds elections for the academic year during the summer before school starts. Any dues-paying GWIS member is eligible to run for any executive board position. A call for nominations is typically sent in June. 

President

Responsibilities and Duties

  • communicate with the larger group

  • organize agenda for executive board meetings

  • schedule and lead general meetings (one per semester)

  • oversee committee chairs and keeping everyone on track

  • attend annual teleconference with national chapter

  • fill out paperwork for Student Services

  • act as the general contact person for the chapter

  • file tax forms

Secretary

Responsibilities and Duties

  • record the minutes of all general and exec board meetings

  • maintain chapter email and documents in shared drive

  • compose and distribute bi-weekly newsletter email

  • update the membership lists and listservs

  • communicate all events to the chapter

  • assist President with scheduling and leading general and executive board meetings

Fundraising and Marketing Chair

Responsibilities and Duties

  • coordinate fundraising events for GWIS Mid-Michigan

  • manage creation and distribution of marketing materials for GWIS Mid-Michigan events and activities

  • maintain social media accounts, including Twitter, Facebook, and Instagram

  • communicate with the Treasurer and committee chairs to collaborate in fundraising and event planning

Undergraduate Mentoring Chair

Responsibilities and Duties

  • Manage the Undergraduate Mentoring Program

  • Connect undergrads with graduate student mentors in their field

  • Organize grad school application workshop in the fall

  • Organize graduate student panel event in the spring

  • Advertise and communicate with advisors and departments on campus

Social and Professional Development Chair

Responsibilities and Duties

  • Correspond with Mid-Michigan chapter about events

  • Schedule, lead and keep minutes of SPD committee meetings

  • Attend and present events/progress at monthly eBoard

  • Work with treasurer on SPD events budget

  • Coordinate, promote, & lead social events ​

  • Invite & coordinate with panelists for annual career panel

  • Provide space and resources for weekly writing cowork

Vice President

Responsibilities and Duties

  • assist President with scheduling and leading meetings

  • attend annual teleconference with national chapter

  • manage all correspondence with national, including memberships

  • take over for the President if the President could not fulfill their responsibilities for any reason

Treasurer

Responsibilities and Duties

  • manage the funds of the organization, including dues, fundraisers, grants, t-shirt sales, reimbursements, etc.

  • monitor the banking statements

  • update the exec board with a running budget

  • work with President to ensure tax forms up to date

  • construct and oversee budget for committees and events

  • make any purchases for the chapter

Community Outreach Chair

Responsibilities and Duties

  • Conduct committee meetings

  • Coordinate volunteers

  • Making new collaborations inside and outside MSU

  • Create new activities

  • Keep record of activities

  • Keep record of contacts (teachers, principals etc.)

  • Prepare an annual budget for the committee

Girls' Math and Science Day Chair

Responsibilities and Duties

The co-chairs are responsible for organizing a half day event for middle school aged girls to experience science and math related activities through MSU researchers.

  • Lead monthly committee meetings

  • Oversee planning & coordination of GMSD subcommittees

  • Chair the Finance Subcommittee (monitor all financial transactions, create & maintain event budget)

  • Recruit event sponsors (departments, businesses, orgs, etc.)

  • Arrange ordering of materials & food

  • Coordinate packing of goodie bags for event participants

  • Correspond with committee members, departments, and participants regularly

  • Oversee follow-up responsibilities (e.g. reimbursement of activity leaders, distributing thank-you notes, etc.)
